We are a fast-growing, small law firm hiring a--Legal Intake Specialist--in Fort Lauderdale. Below is more information about the requirements, qualifications and job description associated with the Legal Intake superhero job opening.

When our prospective clients call us for help, they're often going through an emotionally difficult period. We are looking for an up-and-coming superhero to continue to grow our intake department.

Our Intake Specialist provides our potential clients the ultimate customer service experience. This important position involves complete administrative duties related to client intake and retention. It requires the right combination of telephone skills, empathy, and ability to investigate the root of their problems. No prior legal experience is necessarily required (but it's a plus).

You must be an optimistic, positive person. Our office does not do well with toxic people or negative attitudes or whiners, complainers, gossipers, martyrs, or victims.

We prefer people who are not afraid of computers or learning new things that will make their jobs easier. You must be able to handle working with several different databases of information. If you aren't 100% confident managing data and people, you are not the right person for this job. You must be competent and proficient in the use of Word, Outlook, Adobe, and Facebook, at a minimum. If you are familiar with legal case management software, that is a plus. (We currently use Clio Grow).

We are fully invested in policies and procedures and systems. We believe in a team approach, where you can ask for help when you need it without fear of being judged. But, at times, you will also need to know how to figure things out on your own and be able to creatively solve problems and come up with solutions. Most importantly, you need to have compassion when dealing with our clients. As an ambassador to the world for our firm, you will be one of the first people our clients speak with. Your ability to listen to what you are being told and ask follow-up questions is very important. If you cannot listen, understand, evaluate, and interview someone, this is not the job for you.

Responsibilities:

Manage attorney schedules, including prospective client consultations, to foster caseload growth
Take charge of various office tasks such as email correspondence, document management, data organization, and research to make sure our firm is running at peak efficiency
Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
Screen incoming potential client phone calls to make sure the case falls within the scope of the firm, while helping the caller feel heard and understood
Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files


Qualifications:

Customer service or sales experience a plus
Excellent and empathetic verbal and written communication skills required
Strong computer and data entry skills
Familiarity with case management and CRM systems a bonus
Full familiarity with the Microsoft Office suite, with advanced Excel proficiency
Previous legal experience a plus
High school diploma or equivalent required; Bachelor's degree preferred
